Renewals, extra users and edition upgrades for government and school customers

To renew, add users or change edition as a government, school or university customer, ask Office Niaga for a quotation first, then issue your LO or PO against it. None of these changes are self-service in the Google Admin console.

Renewal

Your Google Workspace renewal date may not line up with your budget year or warrant timing, so request the renewal quotation early.

Check your renewal date. See Licences and renewal.
Ask us for a renewal quotation well before that date.
Issue your LO or PO as described in Quotation, LO and PO.

If your PO may arrive late, tell us before the renewal date. Late POs are handled case by case.

Adding users mid-term

Extra licences go through Office Niaga with a new quotation. If your agency would rather vary the existing PO, contact us to confirm before you raise it. Whether the charge is pro-rated for the rest of the term depends on your subscription, so contact us to confirm.

Tell us how many extra users you need.
Approve the quotation, or send the PO variation if we have confirmed it.
After we add the licences, create the accounts by following Add a user.

Changing edition

Business editions cannot be mixed in one organisation. An upgrade, for example from Business Starter to Business Standard, moves every user and needs a new quotation. Do not plan a few Standard seats next to Starter; budget for the whole organisation.

Common issues

Can I buy extra licences myself in the Google Admin console?

No. Extra licences go through Office Niaga. Ask us for a new quotation. Whether a variation to your existing PO works, and how mid-term licences are charged, is confirmed case by case. Once they are added, you create the users in the Admin console.

Can we give a few staff Business Standard and keep everyone else on Business Starter?

No. Business editions cannot be mixed in one organisation, so an upgrade moves every user and needs a new quotation.

What happens if our PO for the renewal arrives after the renewal date?

Contact us before the renewal date. Late POs are handled case by case, so the earlier we know, the more options there are.
